La compañía multinacional Yooz, especializada en soluciones de gestión financiera, ha presentado el primer barómetro sobre el uso de tecnologías de automatización en la función financiera, realizado con la colaboración de la Asociación Española de Financieros de Empresa (ASSET), a través de un sondeo a más de 1.000 profesionales financieros de ocho países (Francia, Estados Unidos, Reino Unido, Irlanda, España, Suiza, Luxemburgo y Bélgica), en empresas de 50 a 500 empleados. Esta encuesta para conocer el estado de la automatización en las finanzas en 2021 hace un balance de las prácticas financieras en diferentes ámbitos e identifica las expectativas, los desafíos y la visión de estos profesionales financieros para 2022, así como las tecnologías que permiten la transición hacia la automatización. Una de las palancas de esta transformación radica en la digitalización y automatización de los procesos, temas que preocupan especialmente al departamento financiero.
Una de las primeras conclusiones es que, durante este año, el 76% de las empresas encuestadas reconocen que la crisis de Covid-19 ha acelerado la transformación digital del departamento financiero. Esta coyuntura ha acentuado además los requisitos que las empresas deben cumplir para seguir siendo eficientes: adaptación a las limitaciones normativas, optimización de las relaciones con los proveedores, reducción de costes, aumento de productividad en un contexto de trabajo remoto, fluidez de procesos, etc.
Antes de la crisis sanitaria, el incremento de la productividad operativa (23%) era el reto más importante para las empresas de la UE encuestadas, seguido de una mejor comunicación con otros departamentos (21%) y la mejora del control de los procesos financieros habituales (20%). Después de la pandemia, el panorama es muy distinto. La principal prioridad ahora es la adaptación a la transformación digital (24%), seguida del refuerzo de las prácticas de ciberseguridad (20%). Estos cambios reflejan tanto los retos en la consecución de negocios, como de costumbre durante un tiempo de trabajo forzado en casa, así como los cambios a largo plazo en los hábitos de trabajo, con el trabajo desde casa, remoto e híbrido, que será la nueva normalidad para muchas organizaciones.
Sin embargo, muchas empresas se enfrentan a la dificultad de procesar las facturas de los proveedores: el 44% de las empresas declararon que la pandemia tuvo un impacto significativo en el procesamiento de sus facturas, frente a tan solo el 21 % que dijeron que habían tenido muy poco impacto o ninguno.
Las empresas han identificado claramente los desafíos post-covid relacionados con la optimización de procesos y la ciberseguridad. El impacto de la reciente crisis sanitaria se comprende bien y, lamentablemente, se prevé efectos a largo plazo: el 50 % de las empresas creen que tardarán como mínimo un año, si es que llegan a hacerlo, en recuperarse de los efectos de la COVID-19, y para el 25% de las empresas encuestadas, se necesitarán más de dos años para absorber los efectos de la crisis.
Antes de la crisis sanitaria, las empresas ya habían identificado tres grandes desafíos: adaptarse a los cambios en su entorno, en particular los cambios regulatorios, la transformación digital y el aumento de la productividad. En un mundo en crisis, si bien estos tres desafíos siguen estando en la lista de desafíos a enfrentar, han surgido dos nuevos temas internos: optimizar los procesos financieros y fortalecer la ciberseguridad.
Hay mucho camino por recorrer en materia de implementación de tecnologías de automatización de las cuentas a pagar, ya que solo el 18% de las empresas han automatizado sus procesos, pero el 20% de las empresas aun utilizan hojas de Excel y procesos manuales para gestionar las Cuentas a pagar. A partir del sondeo se han identificado tres obstáculos principales: la complejidad de los procesos existentes, la multiplicidad de canales (papel, correo electrónico, EDI, escaneado, etc.) y la gestión del cambio. De hecho, la factura electrónica está luchando por imponerse: solo el 23% de las empresas encuestadas se consideran completamente preparadas para hacerlo.
Sin embargo, la investigación revela que las empresas también han identificado claramente los riesgos asociados a un retraso en la implementación de tecnologías de automatización de las Cuentas a pagar: multiplicación de retrasos en los pagos, deterioro de las relaciones con los proveedores y costos adicionales, errores y pérdida de documentos. Otro efecto secundario de la falta de automatización es la imposibilidad de trabajar de forma remota. En el 80% de las empresas, Covid-19 tuvo un impacto en su capacidad para procesar facturas a tiempo y se descubrió que el 52% de las empresas no podían trabajar a distancia de manera efectiva para administrar las cuentas a pagar.
