A medida que cada vez más aspectos de la vida diaria se digitalizan, las oportunidades para mejorar la precisión y la eficiencia en los negocios son infinitas.
La tecnología ofrece soluciones a actividades empresariales que, como la gestión de gastos, son una de las tareas más difíciles para los equipos de contabilidad y finanzas. Ahora bien, ¿cómo puede digitalizarse la gestión de gastos?
A día de hoy, muchos equipos de contabilidad, Recursos Humanos u operaciones de las empresas siguen el mismo proceso de gestión de notas de gastos, sin adoptar ningún tipo de software de gestión e informes.
Es más, todavía vemos cómo después de un pago de un producto o servicio, este gasto se registra manualmente por empleados a partir de copias en papel, y estas se escanean y archivan como comprobantes de gastos. Pero esto no queda aquí. Tras el reembolso, la empresa debe contabilizar dichos gastos, lo que supone una doble entrada de datos manual que puede provocar errores de contabilidad. Todo ello sin olvidar la obligatoriedad de guardar copia de las aprobaciones junto a los recibos de gastos originales, lo que incrementa el coste y el esfuerzo de almacenamiento, en el caso de ser copias físicas.
A raíz de todo esto, ¿no deberían las empresas dar un paso al frente y sumarse a la innovación? Según una encuesta realizada en 2015, los dos aspectos que más disgustaban a los trabajadores al gestionar sus gastos era guardar y aportar todos los recibos (34 %) y el tiempo invertido para registrarlos (31 %).
El contar con una solución capaz de asegurar ahorro de tiempo y dinero, y de gestionar cada paso sin contratiempos, es cada vez más necesario: desde el momento de la compra hasta la captura digital de los pagos manuales, pasando por el proceso de aprobación, la integración de los datos y la presentación de informes.
Por lo tanto, cualquier solución para digitalizar la gestión de gastos debería ser móvil, cómoda de usar, fácilmente accesible para los empleados, capaz de escanear y digitalizar una variedad de recibos e integrable con otras herramientas
Tener en cuenta estos aspectos ayudará a que el esfuerzo requerido por el trabajador que aportó los gastos sea mínimo y que el proceso funcione sin problemas.
La digitalización es cosa del presente
Para agilizar todo este proceso y gestionar los gastos de manera rápida, sencilla y sin errores, al tiempo que se cumple con la política de la empresa y las regulaciones necesarias, nada más fácil que seguir estos cuatro pasos:
Digitalización
De modo general, existen tres tipos de gastos: online, impresos y escritos a mano. Para que su gestión resulte óptima, es necesario digitalizar el mayor número posible, utilizando para ello una tecnología capaz de tramitarlos de manera impecable.
Dicha solución tecnológica debe permitir que los recibos online pueden añadirse con poco o ningún esfuerzo manual y que los pagos realizados en línea se integren inmediatamente a través de una sencilla interfaz, que los recibos impresos puedan leerse mediante tecnología inteligente (OCR) directamente desde la cámara del dispositivo móvil, mientras que los recibos escritos a mano puedan agregarse manualmente y del modo más rápido y sencillo posible.
Integración
El programa elegido para la gestión de los gastos debe funcionar con los sistemas existentes, independientemente del paquete de planificación de recursos empresariales (ERP), sistema de información de Recursos Humanos (HRIS) o de contabilidad utilizado. Ya sea Sage, Microsoft Dynamics, Oracle, SAP o una variedad de nuevos actores, cualquier solución de gestión de gastos no debe obstaculizar los sistemas ya existentes.
Automatización
El proceso de digitalización debe posibilitar que todos los procedimientos que vienen después puedan ser modificados para su automatización. Cada empresa debe establecer sus reglas particulares y el proceso de aprobación en base al tipo de gasto, la cantidad, las fechas y otros requisitos. Este proceso deber ser posible con distintos tipos de dispositivos -móvil o escritorio- o mediante una app.
El 75 % de los gastos corporativos se generan durante los viajes de empresa, por lo que utilizar una solución tecnológica que permita hacer modificaciones, para una aprobación adicional o un reembolso inmediato, es importante. También es deseable que dicha solución efectúe una conversión automática de los importes de los gastos en monedas extranjeras.

Independientemente de la ubicación, los reglamentos financieros son numerosos, y, a pesar de las similitudes y los acuerdos transfronterizos, existe una gran variedad de matices en el derecho tributario y, por lo tanto, las repercusiones en la gestión de los gastos y la política de reembolso son enormes de un país a otro. Por ello, es importante optar por un producto que comience integrando las regulaciones locales y el cumplimiento en el punto de captura, y que, a la vez, ofrezca la flexibilidad de modificarlas.
Con todo ello, a la hora de considerar una solución de gestión de gastos en la era digital, no solo se deben tener en cuenta las características, la funcionalidad y la tecnología, sino también, seguir estos sencillos pasos que permitirán mejorar los procesos actuales más allá del reconocimiento, además de eliminar hasta el 80 % del tiempo que actualmente se dedica a ello.
